Van rental questions and answers

You will need to bring your full UK/EU driving licence and you will also need to bring along your national insurance number as we now have to check your licence entitlement on line with DVLA. In addition you will need to bring two proofs of your current address, such as current utilities bills, bank or credit card statements, telephone bill etc. You will also need your credit card or debit card for deposit and payment.

Yes, we are open Saturdays 8.00am until 1.00pm and Sundays from 9.00am until 1.00pm. We are also open on Bank Holidays (Sunday Hours will apply). We will be closed on Christmas Day, Boxing Day and New Years Day.

The deposit required for company rentals is £750.00 as this reflects our accidental damage records for corporate hirers. We have reduced the deposit required to £500.00 for private hirers, there is no cost benefit for this service to our private customers.

This is a weekend special rate that applies to a hire collected after 4.00pm on a Friday and returned to us on a Monday before 9.00am. The hire charge for this is a two day hire charge. This rate may not be offered on Bank Holidays or Christmas/New Year holidays.

When the vehicle is hired to you it usually comes with ¼ of tank of fuel. You need to bring it back with the same level of fuel. You and our staff will agree on how much fuel is in the vehicle, mark this down on our condition check sheet and this will be used when the vehicle is returned. We are unable to refund the value of any fuel that is left in the vehicle at the end of your hire. If you let our staff know how far you intend to travel we can advise you on the amount of fuel to put in.

The hire period is calculated in periods and multiple periods of 24hrs. You can collect the vehicle on any day that we are open and hire the van for 24hrs for a one day charge, however you will need to bring the vehicle back when we are open so for an example, we are open on a Sunday until 1.00pm so to have a full 24hrs you will have to collect the vehicle on Saturday before we close at 1.00pm. Generally if you are up to an hour late there is no charge for this, if this hour means that you arrive back at our offices when are offices are closed, then a further charge will apply.

In order to drive one of our vehicles you will need to be aged between 21 & 70 years of age. You will also have held your full licence for two years and have no serious endorsements on your licence and no more than 6 points for minor traffic offences. If you have any points on your licence let our staff know when you enquire and we can obtain clearance from our insurers.

Yes, you can use a debit card, we prefer that you make your deposit and payment on your credit card as this is easier and safer, but debit cards are acceptable. If you use your debit card this will in most cases be for your current bank account, the deposit that is taken is taken by way of an authorisation code that we obtain from your card issuer, usually this code is valid for between 3 & 5 days but some banks or building societies may have a longer valid period. We can ask for a cancellation of this code when you return the vehicle but this is no guarantee that your card issuer can do this immediately. We cannot accept Solo, Electron, American Express, Cheques or Cash as a deposit.

We have a comprehensive insurance policy that will cover the cost of repairs to a third party. It will also cover repairs to a Cole Hire Vehicle, there is an excess on our insurance policy it is currently £500 private hirers holding a UK driving licence and £750 for Corporate Hirers or hirers with an EU driving licence. The insurance policy does not cover Windscreens, Tyres or Aerials. It does not cover any goods that you are transporting in the van. You may well have household items covered under your household contents policy when they are being transported in one of our vehicles.

If the vehicle is damaged whilst on hire to you and we are unable to claim the cost of the repairs from a third party (such as the other driver), it will be your responsibility to cover the cost of repairs up to the value of the excess on our policy. Generally most damages to vehicles are fairly minor and if you break the wing mirror off you will only be charged for the replacement cost of the mirror and you will not lose your deposit. The only exceptions to this are if you damage the roof of the vehicle or if you damage the vehicle wilfully in these circumstances the whole cost of repairs will be chargeable.

Yes, there is a small charge to cover an additional driver, please see our current tariff for details. They will have to show their licence and proof of their address.

No, unfortunately we are unable to offer European travel with our vehicles.

All our Ford Transit and Mercedes Sprinter type vans have three seats in the front, our cars have 5 seats. You must ensure that everyone travelling in our vehicles has their own seat and uses the seat belt provided; this is for your safety and convenience.

Yes, we can offer account facilities to companies who are frequent users. Ask a member of staff for an account application form and we will process this for you.
